This Privacy Policy applies to SalonCall AI websites, dashboards, booking pages, appointment management pages, AI receptionist tools, call logs, notifications, waitlist forms, and related services that link to this policy.
SalonCall AI helps salons manage their own appointments. Salons may have their own policies, prices, staff rules, cancellation rules, and customer service practices. When a salon uses SalonCall AI, the salon is responsible for its relationship with its customers, and SalonCall AI provides the software and related processing needed to operate the service.
2. Information we collect
The information we collect depends on how you use SalonCall AI.
- Salon account information, such as owner name, login email, password authentication data, salon name, phone number, address, staff names, service menu, prices, durations, hours, and booking settings.
- Appointment and customer information, such as customer name, phone number, requested services, appointment date and time, staff preference, appointment notes, group size, booking status, cancellation or rescheduling history, and related calendar details.
- AI receptionist information, such as caller phone number, call time, call duration, call status, summary, booking result, and appointment details created from the call.
- Website, waitlist, and support information, such as email address, salon name, form submissions, support messages, and basic technical data like device, browser, page interactions, IP address, and approximate location.
- Security and operations information, such as login events, audit details, error logs, abuse-prevention signals, and records needed to protect the platform.
3. How we use information
- Provide salon dashboards, calendars, public booking pages, appointment management, AI call booking, call summaries, and booking notifications.
- Confirm, update, cancel, display, or troubleshoot appointments for salons and their customers.
- Route bookings, call records, and customer notes to the correct salon workspace.
- Send operational messages, such as booking confirmations, group request notices, account notices, waitlist updates, and support replies.
- Monitor reliability, prevent abuse, protect accounts, diagnose bugs, and improve the product experience.
- Comply with applicable law, enforce our terms, resolve disputes, and protect the rights, safety, and security of SalonCall AI, salons, customers, and others.
5. Retention
We keep information for as long as needed to provide the service, support salon operations, resolve disputes, maintain security, comply with legal obligations, and keep reasonable business records.
Salons may request deletion of account or appointment data, subject to technical limits, backup cycles, legal requirements, dispute needs, fraud prevention, and records we are required or permitted to keep.
6. AI call details
When a salon enables the AI receptionist, calls may be recorded and transcribed to help with booking and customer service. SalonCall AI explains this practice in its policies and product surfaces, and each salon is responsible for giving any recording or transcription notice and obtaining any consent required for its own phone setup, website, booking flow, signage, or other customer communication. If a caller does not want a call recorded or transcribed, the caller should not continue with the AI receptionist and should contact the salon through another available method.
Call recordings, transcripts, summaries, and AI booking details are used to complete appointments, help salons review what happened on a call, correct booking issues, support customers, and improve safety and reliability of the service.
SalonCall AI does not use salon customer call recordings, transcripts, or booking records to train general-purpose AI models for other customers. We may use de-identified or aggregated operational information to understand reliability, routing, or feature performance.
7. Security
We use administrative, technical, and organizational safeguards designed to protect personal information. These safeguards may include access controls, authentication, encrypted connections, service-provider controls, monitoring, and separation of salon workspaces.
No online service can guarantee perfect security. Salon owners should use strong passwords, keep login credentials private, review staff access, and tell us quickly if they believe an account or booking link has been misused.
8. Storage and cross-border processing
SalonCall AI and its service providers may process and store information in Canada, the United States, or other locations where our providers operate. Information may be subject to the laws of those jurisdictions.
We use service providers for limited business purposes and expect them to protect information they process for us.
9. Your choices and rights
Salon owners can review salon records in their dashboard, and individuals can request access, correction, or deletion where available.
- You may request access to, correction of, or deletion of personal information where required or permitted by law.
- Salon customers can contact the salon directly about appointments and can also contact SalonCall AI if the question is about platform privacy practices.
- Salon owners can update salon profile, staff, service, and booking information in the dashboard.
- You may withdraw consent for certain optional uses where withdrawal is available, but some information may be necessary to provide booking or account services.
10. Changes to this policy
We may update this Privacy Policy as the product, legal requirements, or our practices change. The updated date at the top of the page shows when the policy was last changed. Material changes may also be communicated through the website, dashboard, or another appropriate method.
